Partner Terms

Last updated: 21 October 2026

These terms apply to travel agencies and tour operators ("you", "partner") who join My Sri Lankan Guide to receive trip requests from travellers. You agree to them when you apply to become a partner.

1. Who can join

  • You must be a genuine Sri Lankan travel business, properly licensed or registered for the services you offer (for example, registered with the Sri Lanka Tourism Development Authority where required).
  • The information you give us must be accurate. Keep your licence and registrations valid, and tell us promptly if anything changes.

2. Verification and the directory

  • We review every application and may ask for documents. Approval is at our discretion.
  • Approved partners can appear in our public Local experts directory. You choose whether to be listed and whether to show your licence number. We may hide a listing at any time.
  • You confirm you have the right to use the logo, text and other material you add to your profile, and you allow us to show it on our site and in our communications about the service.

3. Trip requests (leads)

  • We may share each request with up to three partners, so leads are not exclusive. We decide which partners receive a request.
  • Please accept or decline new leads promptly. Leads not answered within 7 days may expire and go to another partner.
  • Quotes must be genuine and tailored to the request, with a clear total price, what's included and not included, payment terms and cancellation terms. Honour your quote within its validity period, subject to any availability conditions you state in it.

4. Travellers' personal information

  • Before a traveller accepts your quote, you see only their trip details, first name, country and language. Use them only to prepare your quote and answer the traveller's questions.
  • When a traveller accepts your quote, you receive their contact details. Use them only to confirm and deliver their booking. Don't add them to marketing lists without the traveller's separate consent, and never sell or share them.
  • From that point you handle the traveller's information as an independent business. You must keep it secure, delete it when it's no longer needed, and comply with the data protection laws that apply to you, including Sri Lanka's Personal Data Protection Act, No. 9 of 2022, and the UK and EU GDPR where they apply.
  • If you become aware of a data breach involving travellers you met through us, tell us without delay.

5. Communication and conduct

  • Before a traveller accepts a quote, keep communication on the platform. Don't ask for contact details or payment in messages.
  • Be honest and professional. No misleading claims, fake reviews, pressure selling or harassment.
  • We may suspend or remove partners who breach these terms or who receive valid complaints.

6. Bookings and payments

Any booking is a contract between you and the traveller. You're responsible for the services you provide, for having the licences and insurance they require, for giving the traveller your booking terms in writing before taking payment, and for refunds and complaints under your terms and the law. My Sri Lankan Guide is not a party to the booking.

7. Fees and lead credits

Joining, being listed and receiving leads is free. When we switch on lead credits, accepting a lead uses prepaid credits. The price of a credit, the number of credits a lead uses and the start date are shown on the Credits page of your partner portal. We'll email you the pricing at least 30 days before charging starts or before a price rises.

  • You buy credits in advance by bank transfer, using the payment reference shown in your portal. We add them after the payment reaches our account and email you a receipt.
  • Credits are used only when you accept a lead. Declining a lead, or letting it expire, costs nothing. We never take money from you automatically; you can only spend credits you have bought.
  • We refund the credits for a lead if we withdraw it after you accepted it, or if the request turns out to be fake, spam or a duplicate. We may also refund in other cases at our discretion. A traveller choosing another agency, or not booking, is not a reason for a refund.
  • Unused credits don't expire while your account is open. Credits can't be exchanged for cash, except that if we close your account when you haven't breached these terms, we'll refund your unused credits at the price you paid.
  • Your balance and the full history of credits bought, used and refunded are always shown in your partner portal.

8. Responsibility

You're responsible for your services and your use of travellers' information. You agree to cover our reasonable losses arising from claims caused by your services or by your breach of these terms. To the extent the law allows, our liability to you in connection with the service is limited to direct losses that were reasonably foreseeable, and we don't guarantee any number of leads or bookings.

9. Leaving

You can stop listing your agency at any time in your partner portal, or ask us to close your account by emailing info@mysrilankanguide.com. We may suspend or close accounts that breach these terms. Section 4 continues to apply to traveller information you received.

10. Changes, law and contact

We may update these terms and will tell partners about significant changes by email. These terms are governed by the laws of Sri Lanka, and the courts of Sri Lanka have jurisdiction. Questions: info@mysrilankanguide.com.
